Office Administrator- Part Time

Location of Role: Hybrid, based at WMSI’s offices in Littleton, NH at least one day per week.

Job Description:
WMSI is seeking a highly organized, detail-oriented Office Administrator to support day-to-day operations and help keep our programs, partners, and systems running smoothly. The Office Administrator plays a key role in supporting WMSI’s internal operations and external partnerships. The biggest priorities for this new position will be 1) managing WMSI’s donor database and the tasks associated with appeals and stewardship and 2) backend tasks for WMSI’s programs.
This is a hybrid role, with at least one day in the office at 23 Ammonoosuc St in Littleton, NH and a total of 20-25 hours/week.
Salary Range: $18-23/hr, commensurate with experience
Duties Will Include:
Managing partner and donor contact records
Managing donor materials and stewardship communications
Assisting with grant documentation and reporting materials
Preparing and sending invoices, proposals, and contracts to schools and partners
Tracking payments, receipts, and expenses using digital systems
Supporting basic bookkeeping tasks and record keeping
Scheduling basic maintenance for WMSI’s vehicle fleet.
Responding to general phone and email inquiries and routing them appropriately
Knowledge, Skills and Abilities:
Strong organizational skills and attention to detail
Clear, professional written and verbal communication
Comfort with spreadsheets and digital tools (Google Workspace required; QuickBooks a plus)
Ability to manage multiple tasks and deadlines independently
Friendly, customer-service-oriented approach
Schedule:
Ideal start date in March 2026
Hybrid, 20-25 hours per week, at least one day in the office.
Ability to respond to immediate questions at least 3 days per week.

Physical Exertion Environmental Conditions:
Required to sit for extended periods of time, stand frequently, use fine motor skills to operate equipment, and lift and/or move 40 pounds or less.
